By setting up a hosting domain, reseller account, or user node on our network, you acknowledge and agree that our infrastructure collects, processes, and retains the following data categories:

  • Authentication Identifiers: Full names, customer usernames, contact emails, and hashed administrative passwords.
  • Connection & Access Logs: Device IP addresses, detailed action logs, geolocation indicators, access times, browser configurations, and exact user interaction timestamps.
  • Transmission Databases: The actual content of routed emails, attachments, headers, recipient information, queue holding details, and delivery logs.
  • Billing Information: Payment cards, company addresses, corporate identification values, and associated transaction logs.

3. Zero Administrative Liability for Leaks & Data Loss

While MyEmailHosts implements industry-standard protocols, secure networks, and server-side encryption to maintain the security of our hardware environment, we accept absolutely no liability or administrative responsibility for data breaches, data leaks, malicious attacks, hardware failures, permanent loss of stored databases, or unauthorized third-party penetration.

All users, resellers, and corporate clients explicitly utilize our network route entirely at their own risk. It is your administrative responsibility to maintain external copies, backups, and secondary mirrors of all critical files and databases.

4. International Cross-Border Data Movement

Our hosting infrastructure utilizes dual redundant routes with physical server clusters configured in different geographic locations. You acknowledge that all data, including personal identifiers and complete email records, may be transferred, stored, and processed in jurisdictions outside of your home country, including but not limited to the United States (US) and the United Kingdom (UK). Standard network compliance guidelines are maintained along transit paths.

5. Data Sharing with Infrastructure and Trusted Entities

To guarantee high availability and continuous operational security, you acknowledge and agree that your data, system credentials, and routing databases may be shared with, stored by, or processed by third-party infrastructure providers, backup operators, redundant cloud storage nodes, or other trusted staff and associated administrative entities. This sharing is carried out strictly to maintain system health, secondary storage mirrors, and administrative security pathways.

6. Administrative Monitoring & System Auditing

To guarantee the safety, absolute reliability, and trusted reputation of our IP routing addresses, our administrative teams and automated security routines reserve the unrestricted right to access, inspect, and monitor routed emails, metadata, access logs, and user configurations.

These access pathways are utilized for:

  • Completing routine system security audits and load analyses.
  • Investigating inbound/outbound spam reports, malicious relays, or network abuse.
  • Reinforcing recipient trust networks and confirming structural SPF, DKIM, and DMARC alignments.
  • Complying with binding law enforcement orders or system integrity verifications.

7. Retention and Permanent System Purges

Data remains saved securely on our primary GB1 and standby LA1 database storage nodes indefinitely until manually deleted by the user inside their respective control portals.

To guarantee absolute, deep-system deletion of all records, user logs, domain associations, billing records, and metadata from our storage drives, you must contact our central administrators directly by sending an explicit request from your primary account email to: [email protected].
